Business Email Hosting in Ireland: A Buyer’s Guide
A professional address such as name@yourbusiness.ie gives an Irish business control over its email identity. The domain belongs to the organisation rather than to an employee’s free-mail account, so addresses can remain consistent when people, devices or suppliers change.
But a custom address alone does not make an email service reliable or secure. This guide explains what to compare before buying business email hosting in Ireland, which DNS records matter, and how to migrate without losing messages.
What is business email hosting?
Business email hosting is the service that receives, stores and sends mail for addresses on your own domain. The domain and the mailbox service are connected through DNS, but they are separate products.
A typical setup has four parts:
- A registered domain, such as
yourbusiness.ie. - An email provider that operates the mailboxes.
- DNS records that direct and authenticate email.
- Applications used by staff on browsers, phones and computers.
You can keep the domain with one provider and use a different specialist email platform. What matters is that the authorised administrator can update DNS accurately and recover both accounts.
Why use an address on your own domain?
- Continuity: the company can retain the address when an employee or supplier leaves.
- Brand clarity: customers can connect the message to the organisation’s public website.
- Administration: authorised staff can create, suspend and redirect addresses under a documented policy.
- Portability: the business can move email providers while keeping the public addresses.
- Authentication: the domain can publish SPF, DKIM and DMARC policies for legitimate mail.
A domain-branded address does not prove that every message is trustworthy. Attackers can compromise real mailboxes or imitate display names. Staff still need verification procedures for payment changes, credentials and sensitive documents.
Eight things to compare before buying
1. Mailbox count and aliases
List the people and functional addresses the business needs. A mailbox stores mail and normally has its own login. An alias, such as sales@, can deliver to an existing mailbox without being a separate user. Check whether aliases, shared mailboxes and forwarding rules are included or charged separately.
2. Storage and attachment limits
Compare per-user storage, maximum message size and what happens when a mailbox is full. Large files may be better shared through controlled cloud storage rather than repeatedly attached to email.
3. Web, mobile and desktop access
Confirm support for the devices and applications your team uses. If IMAP, calendar or contact synchronisation matters, verify the exact protocols and features rather than assuming every plan includes them.
4. Multi-factor authentication
Multi-factor authentication should be available for users and administrators. Ireland’s National Cyber Security Centre recommends MFA as a defence against business email compromise, together with least privilege, monitoring and staff awareness.
Prefer an administrator setup that supports separate named accounts, recovery codes held securely and strong control over forwarding and sign-in policies.
5. Spam, malware and impersonation controls
Ask how the service handles suspicious attachments, malicious links, spoofing, outbound abuse and compromised accounts. No filter catches every attack, so the provider’s controls must be combined with staff verification and incident procedures.
6. Backup, retention and recovery
Retention, deleted-item recovery, legal archiving and backup are not necessarily the same feature. Ask:
- How long can a deleted message be recovered?
- Can administrators restore an entire mailbox?
- Are backups isolated from the normal account?
- Can mail be exported in a usable format?
- What recovery is included in the plan?
7. Migration assistance
If mail already exists, determine how it will be copied, whether folders and timestamps are preserved, and who configures staff devices. Keep the old service available until inbound and outbound tests pass and the migration has been checked.
8. Renewal price and support
Calculate the annual cost for the real number of users, shared mailboxes, storage and security features. Ask what support is available during a mail-flow outage and how account ownership is verified during recovery.
The DNS records behind professional email
MX records
MX records tell other mail systems where to deliver incoming messages. They must match the chosen email provider. Copying an MX value from an unrelated tutorial can stop delivery.
SPF
SPF identifies systems authorised to send mail for the domain. A domain should publish one coherent SPF policy assembled from the services that genuinely send its mail. Google warns that SPF processing has a limit of ten DNS lookups; excessive or incorrect includes can make validation fail.
DKIM
DKIM adds a cryptographic signature to outgoing messages. The email provider supplies the required selector and DNS record, while the sending platform holds the private key.
DMARC
DMARC tells receivers how to handle messages that fail aligned SPF or DKIM checks and can provide reports. Introduce it carefully: inventory legitimate senders, enable authentication, monitor reports, then strengthen the policy when valid mail is passing.
Google’s sender guidance requires authentication for mail sent to personal Gmail accounts, with additional requirements for bulk senders. Even a small business benefits from correctly configured SPF, DKIM and DMARC because these controls help receivers distinguish authorised mail.

How to choose a domain for business email
Choose a domain that is easy to say, spell and retain. Avoid unnecessary punctuation and names that could be confused with another organisation. An Ireland-focused business may consider .ie; a multi-country company may prefer .com or protect both.

Choose the right setup for your business
A sole trader may need one main mailbox and a few aliases. A growing company may need shared mailboxes, central device policies, stronger auditing and formal retention. Buy for the actual workflow and security requirements, not simply for the largest storage number.
